What a transaction coordinator invoice should include

  • A unique invoice number and the property address – title companies match the fee to the file by address.
  • Paid at closing: send the invoice to title/escrow before closing and ask for the fee on the settlement statement; a line that is missing there is rarely paid later.
  • Paid by the agent: a due date (often 7–15 days) and your business name exactly as on your W-9.
  • Your cancellation fee, if the agreement has one – invoice it when the file falls through.
  • Never bank details in the email itself: a phone number to confirm payment instructions protects you and the agent from wire fraud.

Invoices that follow your files by themselves

In ClosingCode each agent has your fee schedule: the invoice is prepared when a file closes, title gets a ready email, a paid invoice is booked as income, and late ones get polite reminders in the agent’s language. Monthly retainers too.
