Transaction Coordination Services Agreement
Template prepared with ClosingCode. Not legal advice – review it with your broker and, if needed, an attorney in your state before you use it.
1. Parties
This agreement, dated January 1, 2026, is between [Coordinator business], represented by [Coordinator name] (the “Coordinator”), and [Agent name] of [Brokerage] (the “Agent”).
2. Services
For each transaction the Agent assigns, the Coordinator opens the file and builds the timeline from the signed contract; tracks every deadline and sends reminders; coordinates with the lender, the title or escrow company, inspectors and the other agent; collects and organizes documents; keeps the clients updated, in English or Spanish, with messages the Agent can review; and prepares the file for the brokerage’s compliance review and for closing.
3. What the Coordinator does not do
Unless licensed and agreed in writing, the Coordinator does not perform activities that require a real estate license: does not negotiate, show property, give legal, tax or pricing advice, or interpret the contract for clients. The Agent remains responsible for the transaction, the clients and all licensed activity, under the supervision of the Agent’s broker.
4. Fees
Buyer-side file: $395. Listing-side file: $350. File cancelled after the Coordinator opened it: $100.
Payment: paid at closing through the title or escrow company, or within 15 days of the invoice if the fee is not on the settlement statement.
Rules on how an unlicensed coordinator may be paid differ by state and brokerage; the parties confirm them with the Agent’s broker before using this agreement.
5. Confidentiality and data
Both parties keep client and transaction information confidential, use it only for these services and protect it with secure tools.
6. Relationship
The Coordinator works as an independent contractor; this agreement does not create employment, partnership or agency.
7. Term and termination
The agreement starts when accepted, and either party may end it by written notice (email is enough). Fees for files already opened remain due under section 4.
8. Electronic acceptance
The parties agree that typing their name and accepting this agreement electronically has the same effect as a signature, under the federal ESIGN Act and applicable state law.
Accepted by [Agent name] (Agent) and by [Coordinator name] for [Coordinator business] (Coordinator).
