Switching systems · data exportHow to export your transactions and documents from your current system

Most transaction systems let you take your data with you, but the button is rarely where you expect it and it is often limited to admins. Dotloop: dashboard admins use the Report Builder (Business+ or Teams). Open To Close: Properties → your table → Export CSV, up to 1,000 rows per file. DocJacket: Transactions → download icon (CSV); each deal's files come as a ZIP from Reports → Export file record. Paperless Pipeline: Transactions → Downloads → Full Spreadsheet, plus Monthly Backups (a ZIP with one folder per property). SkySlope: Admin → Reports → Master Data Report (Excel); documents per file as a ZIP. Follow Up Boss: Reporting → Deals → Export. ListedKit has no export button – its privacy policy offers an export on request. Export before you cancel: some systems keep data only for a limited time.

Where the export is, system by system

  1. Dotloop

Report Builder on the dashboard (dashboard admins, Business+ or Teams) → statuses → Create report → CSV. Documents: open a loop, select documents → Download.

  2. Open To Close

Properties → choose a table and its columns → Export CSV (max 1,000 rows; a shared table needs the owner's Export permission). Contacts export separately. Free API token in Settings → Apps & APIs.

  3. DocJacket

Transactions → download icon (CSV, follows your filters). Per deal: Reports → Export file record → ZIP with documents, communication log and manifest. API keys on paid plans.

  4. Paperless Pipeline

Admins: Transactions → Downloads → Full Spreadsheet. Monthly Backups: ZIP with a folder per property (documents, notes, emails, checklists), last month only, available 30 days.

  5. SkySlope

Your name → Admin → Reports → dates → Download (Master Data Report, Excel). Documents: file → Documents → Download Documents (ZIP); archived files via Access Archives.

  6. Follow Up Boss

Reporting → Deals → Status: All Deals → Export (arrow) → choose columns → CSV. Contacts: People → Export. Owner or users allowed to export.

  7. ListedKit

No in-app export; the privacy policy says an export of your data is provided upon request. A Transaction Summary PDF can be downloaded per deal.

  8. Trackxi

Its FAQ says you can export transaction summaries, task lists and progress reports, and download your data before cancelling.

Before you export

  • Ask your admin or broker if you are not one – most exports are admin-only.
  • Add the columns you need (address, side, price, contract and closing dates, buyers, sellers, title, lender) before exporting.
  • Export documents too – a spreadsheet carries the data, not the signed PDFs.
  • Check how long data stays after you cancel, and export first.

What usually goes wrong

  • Several people in one cell ("Seller(s)", "People") – keep them, a person sorts them out.
  • Row limits (1,000 per file) – export in parts by year or status.
  • Old Excel .xls files, dates with times, report titles above the columns.
  • Agents who leave a SkySlope brokerage lose access to its files – export while you still have it.
